Managing Default Prompts
Default prompts for the editor are managed centrally via the Context "Prompt Administration", which is accessible via the menu item "Administration" and exclusively displays the system's default prompts. They are made available to all users in a uniform manner.
In its default delivery state, the following default prompts are available, among others, grouped by topic:
- Improve Text (Text verbessern): Correct Spelling & Grammar (Rechtschreibung & Grammatik korrigieren), Phrase More Professionally (Professioneller formulieren), Make Shorter (Kürzer fassen), Phrase More Formally (Formeller formulieren), Phrase More Friendly (Freundlicher formulieren)
- E-Mail & Correspondence (E-Mail & Korrespondenz): Create E-Mail from Bullet Points (E-Mail aus Stichpunkten erstellen), Phrase a Reply (Antwort formulieren), Suggest Subject Line (Betreffzeile vorschlagen), Phrase a Follow-up (Follow-up formulieren)
- Summary & Notes (Zusammenfassung & Notizen): Summarize (Zusammenfassen), Extract Next Steps (Nächste Schritte extrahieren), Structure Call Notes (Gesprächsnotiz strukturieren)
- Translation (Übersetzung): Translate to English (Auf Englisch übersetzen), Translate to German (Auf Deutsch übersetzen), Detect Language & Translate (Sprache erkennen & übersetzen)
- Sales (Vertrieb): Work Out Value Arguments (Nutzenargumente herausarbeiten), Counter an Objection (Einwand entkräften), Create Offer Cover Text (Angebots-Begleittext erstellen)
- Service: Explain Solution Clearly (Lösung verständlich erklären), Phrase an Apology E-Mail (Entschuldigungs-E-Mail formulieren)
Default prompts are always displayed in the language in which they were entered in the system — regardless of the respective user's client language.
For his own individual prompts, the System Manager uses the same approach as described under Custom Prompts in the User Settings.
Creating a Default Prompt
Default prompts are created centrally by the System Manager in the "Prompt Administration", so that they are made available to all users in a uniform manner. In doing so, a name and prompt are defined and a group is assigned.
The action for creating groups and prompts behaves the same as in the "Custom Prompts" tab.
Editing a Default Prompt
Existing default prompts can be edited so that content can be kept up to date.
The action for editing prompts behaves the same as in the "Custom Prompts" tab.
Deleting a Default Prompt
Default prompts that are no longer needed can be deleted to keep the overview clean.
Deleting a default prompt also automatically deletes all individual configurations (active/inactive) that individual users have made for it.
The action for deleting prompts behaves the same as in the "Custom Prompts" tab.
Activating/Deactivating Default Prompts for All Users
The default prompts of all users in the system can be set active or inactive, in order to establish a uniform standard for prompts and ensure quality.
-
If a default prompt is set to inactive by the System Manager, it is no longer displayed to any user from the next login onward.
-
If a group has no active default prompts, it is also hidden from the user.
-
If a default prompt is set to active, it is displayed automatically to users without an individual configuration. If users have already made an individual setting for this prompt, that setting takes precedence.
-
Default prompts are always appended at the end in the editor's "AI Commands" action selection.
Automatic Delivery of New Default Prompts
New default prompts are automatically delivered to all affected users, so that no manual distribution is required. They are displayed from the next login onward.
Removing Prompts of a Deleted User
If a user is deleted from the system via the Context "Employee", their individual prompts as well as their configurations for default prompts are also removed, so that no data clutter is created.
